This Privacy Policy explains how Dsc Property Services Ltd. collects, uses, stores, shares and protects information when clients, visitors and neighbours interact with our yard office, our land services and this website. The policy is issued by the developer known as DSC Property, which operates the website at https://www.dscproperty.surf on behalf of Dsc Property Services Ltd., a company registered and working from 17 Lower Partridge River Rd, East Preston - B2Z 1G7, Canada (CA).

We are a small land services office. Most of the information we hold arrives on paper, at the gate, or through a short telephone call. We treat that information the way we treat a survey note: it belongs in a numbered bay, it is read only by the people who need it, and it is never passed around carelessly.

1. Scope of this policy

This policy covers every personal and parcel related record that Dsc Property Services Ltd. handles in the course of its land services, its yard operations and its website. It applies to clients who instruct us, to visitors who browse the site, to neighbours who contact us about a boundary, and to suppliers who deliver to the East Preston yard.

The policy does not cover third party websites that we may link to, nor does it cover the internal records of a public registry or a lending institution. When a client shares a registry printout or a lender summary with us, we treat that document under this policy, but the original holder remains responsible for how it handles the same information.

Where a service is delivered under a separate written agreement, the terms of that agreement and any applicable professional obligations take priority if they conflict with this policy. In every other respect this policy is the full statement of how we handle information.

2. Who we are

The controller of the information described in this policy is Dsc Property Services Ltd., a company working from 17 Lower Partridge River Rd, East Preston - B2Z 1G7, Canada (CA). The company runs survey notes, title checks and land handovers from a working yard in East Preston and maintains this website under the developer name DSC Property.

Our registered business email address is message@dscproperty.surf and our telephone number is +14325525168. Both channels reach the yard office directly. We do not operate a large call centre and we do not route enquiries through an outside agency, so a message sent to either address is read by a member of the yard team.

The company is responsible for deciding what information is collected, why it is collected, how long it is kept and who is allowed to see it. Any question about a specific file should be directed to the yard office using the contact details above and should quote the work order reference where one exists.

3. Information we collect

We collect several categories of information, and the category depends on the service the client has asked for. The main categories are identity details, contact details, parcel details, field observations, financial details relating to an invoice, and technical data generated by the website.

Identity and contact details

Identity details usually consist of a name, a company name where relevant, a postal address, an email address and a telephone number. We collect only what is needed to identify the person instructing us and to send the finished pack to the right place.

Parcel details

Parcel details include the legal description, the civic address, the plan or lot number, the size of the parcel, the location of access points and the names of neighbouring parcels where they appear in a record. These details are often public in nature, but we still store them with the rest of the file rather than in an open list.

Field observations

Field observations include written notes, sketches, measurements and photographs taken at the fence line or at a drainage route. Where a photograph shows a person or a vehicle plate, we treat it as personal information and handle it accordingly.

Financial details

When we issue an invoice we record the billing name, the billing address and the payment reference. We do not store full card numbers and we do not process card details on this website.

4. How we collect information

Most information reaches us directly from the client, either in person at the yard, by telephone, by email or through the contact form on this website. Where a client asks us to act for another person, we ask for confirmation that the other person knows about the instruction before we open a file.

Some information reaches us from public sources, such as a registry office, a plan archive or a municipal record. We use these sources only where the service requires it, and we note the source in the file so that a later reader can check the origin of a statement.

A smaller amount of information is generated automatically when a person uses the website. This technical data includes the type of device, the browser family and the pages that were opened. We describe it in detail in the section on website and technical data below.

We do not buy contact lists and we do not acquire personal information from data brokers. If a message arrives from an address we have never seen, we treat it as a new enquiry and we do not match it against a purchased profile.

5. Why we use information

We use information to open and run a work order, to prepare survey notes, to carry out a title check run, to record a fence line window, to document a drainage review round and to conduct a handover sitting. Each of these uses is tied to the service the client asked for.

We also use information to answer enquiries, to schedule yard appointments, to issue invoices and to keep a complete history of a parcel file. When a client asks a follow up question months after a handover, the file allows us to answer accurately rather than from memory.

Finally, we use information to meet our own obligations, including record keeping, accounting, dispute resolution and any requirement imposed by a court or a regulator. We do not use information for purposes unrelated to land services without asking first.

6. Legal bases for processing

We rely on a small number of legal bases when we handle information. Where a client has given a clear instruction to carry out work, we process the necessary information to perform that instruction and to take steps at the client request before a formal agreement is signed.

We also rely on our legitimate interest in running a small land services business, provided that the interest is not overridden by the rights of the person concerned. This basis covers routine records, internal quality review and the protection of the yard and its files.

Where the law requires us to keep a record, or to disclose it to a public authority, we process the information to comply with that legal obligation. Where we ask for consent for any other use, we make the request in plain language and the person is free to refuse without losing access to the core service.

7. Parcel and survey records

Survey notes are the most detailed records we hold. A note may contain a sketch of the boundary, a list of markers, the readings taken at each marker, the condition of a structure and the name of the officer who took the reading. These notes are filed in bays by parcel and by season.

Because a parcel can be inspected many times over many years, a survey note may mention a previous owner, a neighbouring owner or a contractor. We keep those mentions only where they are necessary to explain a measurement or a disagreement, and we do not create a separate profile of any third party mentioned in passing.

A client who owns a parcel may ask for a copy of the survey notes held for that parcel. Where the note contains information about another person, we may redact the part that belongs to that person before releasing the copy. We explain any redaction when we send the document.

8. Title check information

A title check run compares a registry entry with the conditions found at the gate and on the ground. The run therefore brings together public registry details, client supplied documents and our own field observations. We treat the combined report as a confidential client document.

Where a discrepancy is found, the report may name the parcel, the fence, the structure or the access point involved. It may also describe the response of a neighbour who was present during the visit. We record what was said in summary form and we do not transcribe private conversations.

Title check reports are released to the client who instructed the run. A lender or a purchaser may receive a copy only where the client has confirmed the release in writing, or where a legal requirement obliges us to provide it.

9. Work order information

Each job is opened at a work order desk and given a reference number. The work order records the scope of the instruction, the owner of the job, the yard date, the deliverables and any amendments agreed with the client. The reference number connects every later document to the original instruction.

Work orders are numbered by year and yard rather than by client. This keeps the numbering stable when a parcel changes hands, and it prevents the reference from disclosing who instructed the work. Only the yard office can link a reference number to a client name.

The work order history is kept so that a question about a completed job can be traced to the officer, the date and the version of the note that was signed at handover. Access to the history is limited to the yard team and to any person the client has authorised.

10. Website and technical data

When a person opens this website, the hosting service records a small amount of technical data. This may include the date and time of the visit, the requested page, the browser family, the operating system family and the approximate region from which the request was made. The data is used to keep the site available and to detect abuse.

We do not build advertising profiles and we do not run third party tracking scripts on this site. We use a single verification tag supplied by a search engine provider so that the site can be confirmed as belonging to Dsc Property Services Ltd. That tag does not collect personal information about visitors.

The contact form on this website does not send data to a remote server. When the form is submitted, the visitor email application opens with the details prefilled, and the message travels only when the visitor chooses to send it. This means the yard office receives the message in the same way as an ordinary email.

11. Cookies and local storage

This website does not place advertising cookies and does not use cookies to follow a visitor across other sites. The site is built as a set of ordinary pages, and the small amount of interface behaviour, such as opening the mobile menu or expanding a question, is handled in the browser without a persistent store.

A hosting provider may set a technical cookie to balance traffic or to protect the service against automated abuse. Any such cookie is limited to the operation of the site and is not used to identify a person. We do not sell cookie data and we do not share it with marketing partners.

A visitor who prefers to block cookies can do so in the browser settings. Blocking cookies does not prevent access to any page on this site, because no core feature depends on a stored cookie.

12. Sharing with third parties

We share information only where it is necessary to deliver a service, to meet a legal requirement or to protect the yard. We do not sell information and we do not trade it for marketing value.

The parties who may receive information include a courier or postal service that delivers a pack, an accountant who prepares the company records, a hosting provider that keeps the website online, and a professional adviser consulted about a difficult file. Each party receives only the portion of the information that its task requires.

We may also disclose information where a court order, a subpoena or a lawful request from a public authority requires it. Where we are permitted to notify the client before disclosing, we do so, and we explain what was requested and what was provided.

13. Retention of records

Survey notes, title check reports and handover packs are kept for as long as the parcel file remains useful to the company and to the client. In practice this can mean many years, because a boundary question can return a decade after the original visit.

Records that are no longer needed are reviewed and then destroyed in a controlled way. Paper files are shredded at the yard, and digital copies are deleted from the working drive and from any backup that reaches the end of its cycle. We do not keep orphan copies in a personal inbox.

Financial records, including invoices and payment references, are kept for the period required by tax and accounting rules. Enquiry emails that do not lead to a work order are kept for a short period so that a follow up question can be answered, and are then removed.

14. Security of information

The yard office stores paper files in locked cabinets and digital files on devices that are protected by individual accounts. Access to a file is limited to the officer handling the job and to the yard manager. A file is not left open on a desk at the end of the day.

Digital copies of reports are sent by encrypted email where the receiving system supports it, and by a password protected attachment where it does not. We change passwords on a regular cycle and we keep a written register of who has access to which working area.

No system is perfect. If a security incident occurs, we contain it, we assess what was affected, and we notify the affected client and any relevant authority where the law requires it. We also record what happened so that the same weakness is not repeated.

15. Your privacy rights

A person may ask what information we hold about them, may ask for a copy of that information, and may ask for an incorrect entry to be corrected. A request should be directed to message@dscproperty.surf and should include enough detail to locate the file, such as a work order reference or a parcel address.

In some circumstances a person may ask us to delete information or to restrict how it is used. We will honour the request where the law allows, and we will explain plainly if a record must be kept for a legal or professional reason. We answer requests within a reasonable period and we do not charge a fee unless a request is clearly excessive.

A person who believes we have handled information poorly may raise the matter with the yard manager first. If the matter cannot be resolved, the person may contact the relevant privacy regulator in Canada. We cooperate fully with any such review.

16. Privacy for children

Our services are directed at owners, buyers, lenders and professional advisers. We do not knowingly collect information from a child, and we do not design any feature of this website for children. If a message is received from a person who identifies as a child, we redirect the enquiry to a parent or guardian.

Where a file happens to contain the name of a child, for example in a household record supplied by a client, we keep that name only as part of the overall record and we do not use it for any separate purpose. A guardian may ask us to remove such a name where the law permits.

If we learn that we have collected information from a child without appropriate consent, we delete the information promptly and we record the steps taken.

17. International transfers

Almost all of the information we hold stays at the East Preston yard. In a small number of cases a digital service provider may store a backup in another country. When that happens, we choose a provider that offers a written commitment to protect the information to a standard comparable with Canadian expectations.

A transfer outside Canada does not change the protections described in this policy. The company remains accountable for the information, and a person may still contact the yard office to ask how a transfer was handled.

We do not send parcel files to an overseas contractor for processing, and we do not use an offshore transcription service for field notes.

18. Marketing and updates

This website does not run a newsletter and does not use a marketing automation platform. We do not send promotional email to people who have merely browsed the site or asked a single question.

Where a client has asked to be told about a service update, we send only the information requested, and each message includes a plain way to stop receiving it. A request to stop is actioned promptly and is recorded so that the address is not contacted again by mistake.

We do not sell an email list and we do not share client addresses with an advertising network.

19. Changes to this policy

We review this policy when our services change, when a new record system is introduced or when the law requires an update. The effective date at the top of the page always shows the current version, and the review date shows when the text was last read in full.

Where a change materially affects how we handle information already held, we notify affected clients by email or by a notice at the yard before the change takes effect. Continued use of the website after a change indicates acceptance of the updated policy.

Earlier versions of this policy are kept in the yard records so that a question about an older practice can be answered accurately.
